- A trainee is eligible for accreditation in a developmental course only if registered in the approved private training registration program at course commencement. A trainee who attends the full course will receive an attendance certificate without an institution examination.
- For accreditation in a qualifying course, the trainee must register in the approved program within no more than fifteen days from the start of the course. If the trainee exceeds the prescribed absence rate of 25% of total hours in all institute programs, their enrollment will be cancelled and they will be considered as having failed.
- At the end of the course or diploma, the trainee will be awarded a certificate after achieving 60% or higher in the required final examination set by the institution.
- In the event of failure or absence from an examination, the trainee may request a re-examination after a minimum of fifteen days from the result announcement date. This also applies to trainees wishing to improve their grade (applicable to those with a Pass grade only), where the previous result and certificate are voided and the new result is adopted.
- Accreditation in a training program or diploma requires registration during the designated enrollment periods. Note that diplomas require a secondary school certificate or equivalent for admission.
- A trainee may withdraw from all registered courses by notifying the institution before completing half of the training period, in accordance with training regulations.
- A trainee may drop some registered courses with the facility's approval and after notifying the institution within two weeks from the start of the training period.
- A trainee may transfer from one training facility to another with the approval of both facilities and after obtaining the institution's prior consent. The trainee must not have been expelled from the originating facility, and the transfer must occur during the registration period.
- The maximum training duration at a training facility is double the basic period specified in the training plan for each program or diploma, including periods from which the trainee withdrew, was excluded, or discontinued. Exceeding the maximum duration requires the institution's approval.
- A trainee's enrollment in a training program or diploma will be cancelled in the following cases:
- Trainees are not permitted to postpone the comprehensive examination for qualifying courses, diploma programs, or any other program. Trainees must sit the examination within a maximum of 3 months, after which the institution reserves the right to take any formal action.
- The trainee receives a certificate of program or diploma completion and a training record after passing the institution's comprehensive examination. For more training instructions, please visit the General Directorate of Private Training website: http://pt.tvtc.gov.sa
- Paid fees are non-refundable. However, a trainee may exchange the fees for another course if they have not yet commenced actual study in the current course.
- Trainees must complete their course or diploma studies and register for the examination (comprehensive or qualifying) within a maximum of 3 months after training ends. After this period, no examination will be administered except for valid excuses (medical or immediate family bereavement).
- Management reserves the right to accept or reject an excuse in the following cases:
- After passing the qualifying or comprehensive examination, or the English final examination for course levels, the trainee must collect the certificate within a period not exceeding 3 months; after this period, the certificate will be destroyed.
- If a trainee exits study groups (WhatsApp) resulting in them being unaware of information or examination schedules, management reserves the right to take necessary action. Trainees must also notify institute management of any new mobile number or email address.
- In the event of non-response to customer service — whether by call, WhatsApp message, or email — after repeated attempts, the institute will initiate dismissal procedures.
- Trainees may not sit for institution examinations until the qualifying course or diploma fees have been fully settled.
